Intake and naming
Create one restricted source folder, name files with course or case identifiers that do not expose unnecessary personal data, and record who is authorized to view the packet.
Prepare the packet
Run OCR on image-only forms, convert approved Word or slide content to PDF, merge materials in reading order, and add page numbers after the order is final.
- Keep original scans beside the OCR derivative.
- Use descriptive filenames instead of student names when possible.
- Check charts, math notation, and tables after conversion.
Review and release
Permanently redact information the recipient should not receive, verify redaction, add signatures or initials only after content approval, and reopen the final PDF in a second reader.
Archive and migrate
Store the editable source, signed final PDF, and approval record separately. When moving from email attachments to a shared workspace, migrate approved finals first and keep a documented owner for retention and deletion.
