Create consistent candidate packets without leaking private notes
Separate candidate-facing documents from internal evaluation evidence, then make every handoff deliberate and reviewable.

Separate working and candidate-facing files
Keep interview notes and evaluation scorecards in a restricted location. Build the candidate-facing packet only from approved documents, never by forwarding a working folder.
Standardize review
Use the editable evaluation scorecard, capture evidence rather than protected characteristics, convert approved materials to PDF, and compare offer revisions before signature.
Sign and verify
Confirm compensation, title, manager, location, dates, and contingencies against the approved source. Self-sign only where appropriate; a visual signature is not certificate-based identity verification.
Retention and migration
Define a retention owner and deletion schedule before moving from personal inboxes into a shared recruiting system. Migrate final records with consistent candidate IDs and remove duplicate local copies when policy permits.
